Chapter 01 · The brief

SharePoint 2010. Years of unorganised content. Cross-site collaboration blocked.

Thousands of employees across multiple manufacturing sites — on a platform that made finding anything difficult.

A large US candy manufacturer was running a critical SharePoint 2010 intranet that served thousands of employees across multiple manufacturing sites. The platform was aging, had accumulated years of unorganised content, and was increasingly difficult to navigate.

Cross-site collaboration was hampered by siloed content structures — each site had organised its content independently over years, making it hard for employees who worked across multiple locations to find what they needed. The platform's age also meant it was increasingly out of step with how employees expected to work.

Chapter 02 · Build

Migration to SharePoint Online. Information architecture redesigned alongside the technical move.

Vatsa led the migration to SharePoint Online, redesigning the information architecture and content organisation alongside the technical migration.

Department content owners were involved in redesigning their sections — ensuring the new structure reflected how teams actually organised their work, rather than inheriting the accumulation of the old platform. A governance model was put in place to manage content lifecycle going forward, giving the intranet team the tools to keep the platform organised without a manual review exercise every few years.

Chapter 03 · Outcomes

Employees could find things. Cross-site collaboration increased.

GovernedContent lifecycle model in place

Employee satisfaction with the intranet improved significantly after launch. Cross-site content sharing increased, reducing duplicated effort across manufacturing locations. The governance model put the intranet team in control of content quality going forward — without relying on periodic manual clean-up exercises.
